## The question

After an intro call about a training, a client wants to see quickly in black and white what we discussed: which training, for whom, when, what it costs. Writing that proposal cost us a couple of hours every time, and every proposal looked slightly different. The question to ourselves: can we produce a correct, consistent proposal from the call itself, the emails, the transcript or our notes, in the time it takes to fetch a coffee?

## Our approach

We built several skills for Claude that together turn a call into a proposal. They read the emails, the transcript or our notes, recognise which training or session was discussed and take from them only what is specific to this client. Everything that is the same for every client, content, prices and terms, comes from one fixed source, so the proposal always matches what is on the website. What is missing is asked for instead of invented. Before the proposal goes out, we check it and an independent review verifies that every statement is traceable and every price is right. The result: a proposal in our house style, as a PDF, with the covering email.

## Impact delivered

Results, before → now:

- Drawing up a training proposal: 1 to 2 hours → under 5 minutes

The chance that a client receives the proposal the same day is now much greater, and it is always consistent with what is on the website; the client confirms by replying to the email. The time freed up goes to the conversation itself.

## The route

1. emails, transcript or notes from the call
2. mapped onto our services
3. proposal with the right prices
4. independent review
5. PDF and covering email
