Jobs-Pains-Gains workshop with 12 participants from Contracts & Procurement: the use cases mapped, the two strongest built.

## Facts

- **Category:** Transform (discovery, agents and automations)
- **Sector:** Federal development agency
- **Size:** 14+ country offices
- **Technology:** Microsoft Copilot Studio

## The question

Use AI within the procurement department to improve knowledge sharing, reduce repetitive document work and speed up compliance checks across more than 14 country offices.

## Our approach

First an inspiration session on AI agents, so everyone had the same picture of what is possible. Then a structured workshop with 12 participants from Contracts & Procurement: use cases identified through a Jobs-Pains-Gains framework and prioritised by vote. In a follow-on data discovery the documentation structure was mapped and the technical approach fixed: three languages, sources per procurement phase and secure search across the country offices.

## Impact delivered

Results, before → now:

- Use cases: 15 identified → 2 built

The workshop delivered a prioritised list; the two strongest use cases were worked out and built. The main solution became a procurement knowledge & compliance agent in Copilot Studio, which makes legal frameworks, guidelines, templates and tender documents searchable for the whole organisation.
